Real Estate Portal Development: How Ascendix Built a Secure Deal & Listings Workspace for CRE Brokers

At Ascendix, we built a real estate portal on AscendixRE and Salesforce that gave commercial real estate brokers one secure workspace for map-based listing search, NDA-gated deal rooms, and prospect collaboration, replacing the email chains and attachments they had relied on.

Background

As a real estate software development company, we at Ascendix have spent years building software for commercial real estate teams, so we see how brokerages on AscendixRE and Salesforce work a deal day to day. At the time, the same gap kept coming up.

Our users had their listings and contacts organized in their systems, but everything that happened once a listing went out ran through email: brochures, NDAs, and the back-and-forth with prospects, tenants, and investors. They needed a secure, central place where listings and the deal conversations around them could live together.

What follows is what was slowing brokers down before this, how we solved it, and how they use the platform today.

Challenges

Search Wasn’t Built for Brokers

Brokers looking for the right listing for a specific buyer were stuck scrolling spreadsheet rows and guessing which filters applied, since there was no way to just draw a boundary on a map and see what fell inside it. A search that should have taken seconds routinely stretched into several minutes.

Every Brochure Cost an Hour

Building a brochure for a listing took pulling photos, dropping in a map, and rebuilding the same layout by hand in a blank document, then repeating the process for every new prospect who asked. A single brochure could take the better part of an hour to put together.

Confidential Docs Lived in Inboxes

NDAs went out as email attachments: easy to forward, hard to track, and impossible to confirm anyone had actually read. A tenant’s question about a listing turned into another reply-all and another attachment, with the signed confidentiality agreement at risk of getting buried in the thread.

No Way to See What Was Working

Brokers could tell a listing was getting attention. Pinning down which listings or rooms were actually worth another call took someone pulling the numbers by hand for a single meeting, so that kind of guesswork stayed the norm more often than not.

The same process behind this portal applies to any CRE or capital markets system built specifically around how a team works.

Solutions

1
Ascendix-Marketspace-Geo-Mapping
Map-Based Search Built Into the Listing Record

We gave brokers a way to draw a search area directly on a map, instead of filtering spreadsheet rows by hand, and to let filters narrow automatically down to what applies to their current records. A search that used to take several minutes now takes about as long as it takes to draw a shape.

Brochures Generated From the Listing

Ascendix connected brochure generation straight to the listing record, so a branded PDF is two clicks away instead of a formatting session. The same record populates every version automatically, photos, map, and availability included.

Ascendix-Marketspace-Collaboration-Rooms
Deal Rooms With the NDA as the Entry Point

We built deal rooms so the confidentiality agreement comes built into getting access, not a separate step to chase down. Brokers, prospects, tenants, and investors work from the same documents in real time, and we extend the same setup to real estate investor portals as a standalone offering.

Dashboards Fed by Portal Activity

We turned listing views, room activity, and prospect engagement into charts that update automatically, with no report pulled by hand for a single meeting. Teams can see which listings and rooms are getting traction as it happens, not after the fact.

From Inbox Chaos to One Governed Workspace

Brokers who used to piece a deal together across email, spreadsheets, and one-off PDFs now run the whole thing from a single place.

A listing goes out with map search built in, gets shared as one link, and lands in a deal room where the NDA, the documents, and the back-and-forth all stay together until the deal closes.

Less time spent managing five different tools means more time spent on the deal itself.

“ A lot of our customers are in commercial real estate. They have many listings they win from their customers, and they need a way to give brokers the right search tool to find the right listings, add them to a collaboration room, and bring the customer in to review the options. The customer can ask questions, chat, and share documents securely. It takes a sales process that used to run entirely on email and moves it into one collaboration platform. The feedback from our customers has been excellent. ”

FAQ

How do brokers share sensitive deal documents securely without email?

Every deal moves into a secure deal room instead of an inbox. Prospects and investors accept a confidentiality agreement to get access, then documents, updates, and conversations stay inside that one room instead of spreading across attachments and reply-all threads.

Can brokers search listings by map instead of scrolling a spreadsheet?

Yes. The portal’s geo-mapped search lets brokers and prospects draw a custom search area, use a preset shape, or switch to satellite view, then click any pin for full listing details.

Is this portal part of AscendixRE, or a separate system?

No, it’s part of AscendixRE and is fully supported within it: brokers already on AscendixRE get the listing portal, deal rooms, and dashboards in that same environment, running on the same data.
